How DealZen actually works.

Not a black box. Seven steps, in the order they really happen — and it starts before a single message is read, with DealZen learning what your business sells and how you talk to buyers.

  1. Learn your business

This is where it actually begins, before a single message is read. DealZen goes through your website, your profile documents and your past proposals, and builds a picture of what you sell, at what price, to which kind of buyer, and in which markets. It also picks up the tone you use with clients. Run more than one business and each gets its own workspace, its own profile and its own scoring.

  2. Detect

Only now do the channels get watched. WhatsApp, Telegram and Gmail are read continuously for messages that look like a business opportunity for you specifically — not for messages in general.

  3. Score

Each lead is scored 0–100 against that profile, and the reasoning is kept rather than discarded. The score belongs to the lead, not to the sender — though a contact who keeps bringing you real leads builds a stronger relationship signal, and that feeds into the score.

  4. Clarify

If a lead is promising but something important is missing — volume, timeline, budget — DealZen drafts one sharp follow-up question. Never a form, never a barrage. The answer refines the score.

  5. Draft

When there is something worth saying, DealZen writes it. It weighs the relationship, the urgency, and how closely the request matches what you genuinely offer, then writes in steady professional language that moves the conversation toward a decision — so how your day has gone never reaches the buyer.

  6. Approve

The draft waits for you. Nothing goes out until you tap approve — edit it, send it, or skip it. When you have seen enough to trust it, you can hand over the lead and let DealZen reply on its own.

  7. Send

The reply goes out the way a person would send it: after a natural pause, not the instant the message landed. Every approved, edited or skipped decision is logged.

The same message, two different businesses

Scoring is not a universal rulebook. It is read against what you actually sell, so identical text can be an emergency for one business and a maybe for another.

Incoming · WhatsApp

“Need 40 workstations for the new Andheri office. Budget is approved. Can you share pricing today?”

An office furniture supplier

92Hot

Forty workstations is core inventory, the budget is stated, and the buyer wants pricing today. Call within 15 minutes.

A commercial interior fit-out firm

54Warm

Furniture supply alone is not the service. Worth one question about whether the fit-out is also in scope before spending time on it.

Illustrative example.

Questions people actually ask

Does DealZen message my leads on its own?

Not unless you hand it that control yourself. The default is that every AI-drafted reply waits for your explicit tap, and autonomous sending stays switched off through the current pilot. Every approve, edit or skip is logged either way.

Do I have to change how I already work?

No. DealZen reads the channels you are already using, scores what it finds, and stays out of the way until there is something worth your attention. There is no new inbox to live in.

What happens to the messages that are not leads?

They score low and drop down the list. Newsletters, marketing and group banter land in the 0–39 band, which tells you to monitor and deprioritise rather than act.

Which channels can I connect?

WhatsApp, Telegram and Gmail today. Instagram DMs are coming. DealZen only ever reads a channel you explicitly connect, and you can disconnect any of them at any time.

Why does the same message score differently for two businesses?

Because scoring is tuned to your offerings, positioning and ideal customer profile. A bulk enquiry that is a perfect fit for one business is noise for another, and the score reflects that rather than pretending there is one universal answer.

How quickly does it start working?

DealZen builds your business profile first, from your site, documents and past proposals. Once that exists and you connect a channel, scanning begins within about 60 seconds. Scoring keeps getting sharper as it sees which leads you act on and how you reply.

Will it ever reply without me?

Only if you decide it should, and that override is not enabled during the pilot. It exists because once you have read enough drafts to trust the tone, waiting to tap approve on every one becomes the bottleneck. When it is on, replies still go out after a natural pause rather than the instant a message arrives — an immediate answer is the fastest way to look like a bot.
